Job Description: The Sales Assistant is responsible for assisting the sales team in customer satisfaction, completing all correspondence including contracts and proposals, maintaining a filing system, coordinating communication from sales to operating departments of the hotels, typing memos, meeting minutes and other administrative duties.
Qualifications: · High School diploma or GED certification or equivalent work experience · College degree preferred · Hospitality experience preferred · Strong financial knowledge required · Strong computer skills preferred · Excellent communication, negotiation, and presentation skills.
· Must be able to convey information and ideas clearly, both oral and written.
· Must be able to evaluate and select among alternative courses of action quickly and accurately · Must be able to work well in stressful, high-pressure situations including the ability to handle guest complaints and disputes and resolve them to satisfactory results.
· Must maintain composure and objectivity under pressure.
Key Responsibilities: · Operate within the established sales expense budget.
· Prepare and process correspondence, contracts, banquet event orders, thank you letters, function information and agendas as requested.
Prioritize the workload on a daily basis.
· Ensure that all information regarding group and events are sent to the proper department, hotel and/or vendor on schedule in order to facilitate the proper handling of each group.
· Ensure proper meeting room set up by staff.
· Be familiar with hotel layout and menus with pricing.
· Call groups for guarantees 72 hours in advance of function or as specified.
· Maintain an accurate and up-to date filing system.
· Produce or assist in the preparation of required reports in a timely manner.
· Conduct a professional, thorough site inspection of the hotel with clients, exhibiting key features and benefits of the property.
· Meet and greet onsite contacts.
Must be “on call” to meet any client needs.
· Assist front office operations with group coordination including entering rooming lists, pre-blocking and pre-keying rooms, assisting with welcome letters and gifts.
· Responsible for ensuring complete and proper posting of meeting/group charges and sending invoices to clients.
· Participation in community programs outside of networking organizations highly encouraged.
· Be proficient with the computerized sales management system to manage the hotel’s business, including (but not limited to) generating reports, entering business, blocking space and building accounts.
· Be proficient with any hotels sales and catering software system as well as all brand site tools and property management system functions.
· Be familiar with other computer software necessary for the job.
· Abide by Prime Selling Time (PST).
· Perform other duties as requested by management.
· Attend all training and meetings as required by management.
